File Management
Upload, organize, and manage documents for each case in Vertex.
Every case in Vertex has its own file management system. You can upload documents, create folder hierarchies, control access per file, and preview or download files — all within the case.
Uploading Files
Open any case and go to the Files tab. You can:
- Drag and drop files directly into the file manager
- Click to upload and select files from your device
Files are uploaded to secure cloud storage and linked to the case. Upload progress is tracked in real-time.
Supported File Types
Vertex accepts any file type for upload. The following types support in-app preview:
- Documents — PDF, plain text, HTML, CSS, JavaScript, JSON
- Images — JPEG, PNG, GIF, WebP, SVG
All other file types can be uploaded and downloaded but must be opened in an external application.
Organizing Files
Folders
You can create folders within a case to organize documents. Folders support unlimited nesting — create sub-folders within folders for detailed organization.
- Folders appear before files in the file list, both sorted alphabetically
- Deleting a folder deletes all files and sub-folders inside it (storage is freed accordingly)
Renaming
Files and folders can be renamed at any time by users with Editor access or above.
Previewing & Downloading
Preview
For supported file types (PDFs, images, text files), click a file to open a preview directly in Vertex. Preview URLs are temporary and expire after 1 hour for security.
Download
Any file can be downloaded regardless of type. Download URLs expire after 5 minutes. The file downloads with its original name and extension.
File Access Control
On Team plans, you can control who has access to individual files and folders.

Access Inheritance
- Case Admins automatically have full access to all files in the case
- Organization Admins and Owners have full access to all files across all cases
- File-level access can be granted to specific users, overriding their default permissions
- Access is checked recursively up the folder chain — if a user has access to a parent folder, they have access to its children
Personal Organizations
In personal organizations, only the organization owner can access files. File sharing is not available on personal plans.
Storage
Quotas
Storage is tracked at the organization level. Each uploaded file counts toward your organization's storage quota.

Additional Storage
You can purchase additional storage at ₹99 per 10 GB on Standard, Pro, Starter, and Team Pro plans. Enterprise plans include unlimited storage.
Tracking Usage
Your current storage usage is displayed in the organization settings. When you approach your limit, you'll be notified. Once the limit is reached, you won't be able to upload new files until you upgrade or free up space.
Storage is updated in real-time:
- On upload — file size is added to the total
- On delete — file size is freed from the total
- On folder delete — total size of all contained files is freed recursively
Your existing files are never deleted when downgrading plans. You just won't be able to upload new files beyond the limit.
